1 Learn how to find the total and available storage for your organization. You can purchase an unlimited amount of additional SharePoint storage. See Change storage space for your subscription.
2 We recommend monitoring the Recycle Bin and emptying it regularly. The storage space it uses is part of the organization's total storage limit.
3 If you have a Microsoft 365 subscription and an Office 365 Extra File Storage add-on, the storage amounts are added.
4 This is the storage limit for a single site (previously called "site collection"), not the amount of storage provided for each site. This limit applies to all types of sites, including Office 365 group-connected team sites and OneDrive. SharePoint admins can manually set lower storage limits.
5 Firstline Workers can't administer SharePoint sites.
6 Not including the OneDrive created for each licensed user.
7 If you have more than 500,000 users, contact a Microsoft representative.

Service limits for all plans

Items in lists and libraries

A list can have up to 30 million items and a library can have up to 30 million files and folders. When a list, library, or folder contains more than 100,000 items, you can't break permissions inheritance on the list, library, or folder. Nor can you re-inherit permissions on it. However, you can still break inheritance on the individual items within that list, library, or folder, up to the maximum number of unique permissions in the list or library (see the next section). To learn more about other restrictions for viewing large lists, see Manage large lists and libraries in Office 365.

 Note

There is no limit to the number of document libraries you can have on a site.

Unique permissions for items in a list or library

The allowed limit is 50,000 uniquely permissioned items, but the recommended general limit is 5,000. Making changes to more than 5,000 uniquely permissioned items at a time takes longer. For large lists, design to have as few unique permissions as possible.

Another limit is 5,000 role assignments per uniquely permissioned item.

File size and file path length

100 GB. The maximum size for files attached to list items is 250 MB. To learn more about restrictions and limits when using the new OneDrive sync app (OneDrive.exe), see Invalid file names and file types.

Moving and copying across sites

Copying/Moving multiple files in a single operation has three requirements:

  • No more than 100 GB total file size
  • No more than 30,000 files
  • Each file must be less than 2 GB

Sync

Current OneDrive sync app (OneDrive.exe) - For optimum performance, we recommend storing no more than 300,000 files per user across all synced document libraries, even if you're using Files On-Demand or choosing only some folders within the libraries to sync.

Previous OneDrive for Business sync app (Groove.exe - used with older on-premise SharePoint environments) - You can sync up to 20,000 items total across all synced libraries. This includes OneDrive libraries, team site libraries, or both. Separately from the overall sync limit, there are limits to the number of items that can be synced for each library type:

  • You can sync up to 20,000 items in a OneDrive library. This includes folders and files.
  • You can sync up to 5,000 items in a SharePoint library. This includes folders and files. These are libraries that you find on various SharePoint sites, such as team sites and community sites, libraries that other people created, or that you created from your Sites page. You can sync multiple SharePoint libraries. Any team sites that you sync will also count against the overall 20,000 item limit across all synchronized libraries.

 Note

If users need to sync files in document libraries that have hundreds of thousands of files, you can "hide" folders from the sync app by setting the permission level of the folders to "Restricted Read."

Versions

50,000 major versions and 511 minor versions.

SharePoint groups

A user can belong to 5,000 groups per site (site collection), and each group can have up to 5,000 users. You can have up to 10,000 groups per site (site collection).

 Note

For Azure AD group limits, see Azure AD service limits and restrictions as such limits can impact public and private group sites membership management.

Managed metadata

200,000 terms in Term Store, 1,000 global term sets, 1,000 groups.

Overall site metadata

1000 GB per site (metadata rarely reaches this size).

Subsites

2,000 per site (site collection). We recommend creating sites and organizing them into hubs instead of creating subsites. If you do use subsites, we recommend limiting their number (especially on heavily trafficked sites).

 Note

Your organization is limited to 2,000 hub sites. You might not need a hub site for every function, and it's important to do some planning before you create hubs. For more information, please visit Planning your SharePoint hub sites.

SharePoint hosted applications

20,000 instances per organization.

People editing a document at the same time

99 people can have a document open for editing at the same time. If more than 10 people edit a document simultaneously, their edits are more likely to conflict and the user experience will gradually degrade.

Users

2 million per site (site collection).

 Note

There is no limit to the number of guests you can invite to SharePoint sites. For more information about external sharing, see External sharing overview.
